Prospecting tools for recruitment agencies: find your next client

Hilead7 min read

Compare prospecting tools for recruitment agencies, from hiring signals to contact enrichment, and build a practical workflow for finding employer clients. Start with the part of business development that slows you down: finding relevant vacancies, identifying the hiring team, getting contact details, or following up. This guide compares four approaches and works through a real public vacancy. Product pages and the vacancy were checked on September 7, 2026. This is an editorial guide by Hilead, not a measured vendor ranking or a client success story.

Choose the tool for the missing part of your client-prospecting workflow

These products solve different problems. A hiring signal does not establish that an employer uses external recruiters. Check the vendor sources below for current scope and terms.

Choose a client niche before choosing software

Define the employers your agency can serve: role family, seniority, location and recruitment model. An agency placing bilingual SDRs in London needs a different list from an executive-search firm placing CFOs. Keep employer prospects separate from candidates. The first list needs evidence of relevant hiring and a route to the person responsible for it; the second supports candidate sourcing and placement. Start with a small research sample you can review individually. Our ICP guide helps turn the niche into explicit inclusion and exclusion criteria.

  2. 2

    Compare the four software roles

TheirStack provides hiring intelligence with job-title, location and company filters, plus alerts for openings and closures. Consider it when finding and monitoring relevant vacancies is the bottleneck. Kaspr provides a LinkedIn extension for business contact data; consider it when you already know whom you want to reach. Recruiterflow combines an ATS and CRM for recruiting businesses; evaluate it when relationship and placement management are the missing layer. Hilead supports profile capture, contact enrichment and the move into email and LinkedIn campaigns. Consider it when the gap runs from prospect research to outreach. Test the part you need, using the same target sample. None of these descriptions establishes a winner on coverage or reply rates, and this guide does not claim a native Hilead integration with the other products.

Read a real hiring signal: Tavily's EMEA SDR vacancy

For an agency specialising in bilingual sales recruitment, Tavily's public EMEA SDR vacancy is a useful research example. When checked on September 7, 2026, the listing described a London-based sales-development role requiring professional French or German and work on inbound qualification and outbound prospecting. These are observable requirements, not proof that Tavily wants recruitment-agency support. Record the source URL and observation date, then check the live listing again before acting. The publication date, availability of an external-agency budget and willingness to work with a new supplier were not established in this walkthrough. Tavily is used as a public research example, not presented as a Hilead customer or an endorsed prospect.

  4. 4

    Identify the employer's decision-maker

Start from the employer's own website and current LinkedIn company page. For the SDR example, research the sales-development leader and the internal talent-acquisition owner; verify current responsibilities rather than guessing that a founder is the hiring manager. Confirm who owns agency relationships before choosing a contact. Exclude staffing intermediaries, current clients already handled by a colleague and profiles whose employer or role cannot be verified. Hilead's decision-maker research guide explains the manual search route. A job ad supplies context for this research; it does not identify a decision-maker automatically or justify contacting everyone at the company.

  5. 5

Move the selected profiles into Hilead

Open the relevant person's LinkedIn profile, confirm the current company, then use the Hilead extension to capture the profile. Save it to an audience for your employer-client niche when signed in. For several people, use a LinkedIn people search, select only the profiles you have checked and choose Import to audience. The selected-profile import accepts up to 50 profiles per batch; free CSV export is also available for the manual selection. Add the vacancy URL, role requirements, observation date and remaining questions to your research record so the hiring evidence stays available when you write the message. The profile tutorial and search-import tutorial explain these existing actions. Capture, contact lookup and campaign launch are separate decisions.

  6. 6

Budget enrichment before requesting contact details

Hilead STARTER is $49/month with 50 monthly enrichment credits. Work email starts at one credit; phone enrichment costs ten. For planning, ten successful work-email lookups at the starting rate use ten credits, while ten successful phone lookups use 100 credits—more than STARTER's monthly included allowance. These are calculated examples, not lookups performed on the Tavily hiring team or measured campaign costs. Check the displayed cost and balance before each operation, review the returned identity and contact status, and keep missing results visible. Unsuccessful lookups are refunded; a verified email is not a guarantee of delivery. The 7-day trial requires a card. Managed sending domains with warmup are a paid add-on. See current plans and credits, and include other software and your research time when comparing total cost.

  7. 7

Prepare a message the evidence supports

For the vacancy above, a starting draft could be: ‘Hi—your EMEA SDR listing asks for French or German alongside outbound prospecting. Our agency focuses on bilingual sales recruitment in London. Do you work with external recruiters for roles like this, and who is the right person to speak with?’ This is an unsent example: use the specialisation claim only if it is true of your agency, and recheck the vacancy before referring to it. Do not claim that hiring is urgent, that the team is struggling, or that you have candidates ready unless you can substantiate it. Once the audience and message are reviewed, select the audience in a Hilead campaign, connect your sender and prepare the sequence. Keep the campaign as a draft until you are ready to launch. A hiring post does not constitute permission for every form of outreach; respect applicable rules, preferences and requests to stop.

Judge the workflow by qualified client conversations

Track employers researched, relevant vacancies confirmed, unique decision-makers retained, contact details returned, people contacted and human replies. Then distinguish introductory calls from qualified recruitment briefs, agreed supplier terms and won clients. Record your definition of a qualified brief, the observation window, credits and research time. A contact list is an input, not a placement pipeline. If your current ATS or CRM already runs the required follow-up, keep that workflow and evaluate only the missing research or enrichment layer. Expand a pilot only when its actual results justify the work. This public walkthrough establishes a method and a source, not a conversion rate or a promise of client acquisition.

Frequently asked questions

What are prospecting tools for recruitment agencies?

For client acquisition, they help agencies identify hiring employers, find relevant decision-makers, obtain contact details and manage outreach. Candidate sourcing and ATS tools serve related but different parts of the recruiting business.

How can a recruitment agency find companies that are hiring?

Start with employer career pages and public job listings, or evaluate a hiring-intelligence provider for monitoring. Filter by the roles and locations your agency serves, confirm the employer and current vacancy, then research who owns recruiting or supplier relationships.

Does a job posting mean a company needs a recruitment agency?

No. It shows an advertised hiring requirement. Whether the employer uses external recruiters, has a supplier budget or accepts new agencies requires separate confirmation.

Can Hilead replace a recruitment ATS?

This workflow uses Hilead for prospect research, contact enrichment and outreach. It does not establish replacement of candidate tracking, interview management, placement workflows or recruitment-specific reporting in an ATS.

Want to try it yourself?

Follow three steps with the Hilead extension: install it, select an employer contact and import the profile into an audience. Free CSV export is available; contact enrichment uses credits.
